Custom operational portal

A dispatch portal for a home service company

Your schedule lives on a whiteboard and in your head, so technicians call all day for addresses, equipment history, and what to do next. A dispatch portal makes that board something the whole crew can see.

This example is a custom portal because the team signs into it to run a role-based, end-to-end workflow. Compare both solution types.

Before

The schedule lives on a whiteboard and in my head, so techs call me all day for addresses, history, and what to do next.

After

Dispatchers assign every job from one board while each technician opens a phone view with today's jobs, equipment history, and the next step.

Field service dispatch

Every job has a tech, a status, and a next step

How it runs

The workflow, end to end

Fits: HVAC, plumbing, electrical, roofing, or another trade dispatching technicians to jobs every day.

  1. A call, missed-call text, or web request creates a job with customer, address, equipment, and priority
  2. The dispatcher reviews the unassigned queue and matches each job to a technician by skill, location, and load
  3. The technician sees today's jobs in order with history, parts notes, and a checklist to complete on site
  4. Completed work carries notes, photos, and signatures into billing without re-keying

Smallest useful first version: Start with two roles, one service area, the unassigned-job queue, and each technician's day view.

Under the hood

Technical approach and how success is measured

  • Role-based portal separating dispatcher and technician permissions
  • Relational records for customers, equipment, jobs, assignments, and visit history
  • TanStack Table dispatch board with sorting, priority filters, and detail panels
  • Mobile-first technician view with offline-tolerant status updates
  • Accounting and telephony integrations added after the dispatch workflow is proven

Measured by: Jobs completed per technician per day · Callback rate on jobs marked complete · Time from job completion to invoice sent

Common Questions

How is this different from buying ServiceTitan or Housecall Pro?

Those are strong products priced and scoped for larger operations. A custom portal fits a small crew's actual workflow, costs less to run, and does not charge per seat as you add techs.

Can technicians use it on a phone in the field?

Yes. The technician view is mobile-first, shows only today's assigned jobs, and tolerates spotty connectivity when updating status.

Does it replace our accounting system?

No. QuickBooks or your existing accounting stays authoritative for invoicing; the portal feeds completed work into it so nobody re-keys job details.
